OEIS 14th Annual Meeting Terms and Agreement

ELIGIBILITY
The Organizer reserves the right to determine the eligibility of any company, organization, product, or service for exhibition or sponsorship participation. Participation does not imply endorsement of any product, service, or company by the Organizer.

APPLICATION AND ACCEPTANCE
Submission of an exhibit or sponsorship application constitutes a binding commitment to participate and comply with these Terms and Conditions. Applications are subject to approval by the Organizer. Submission of an exhibitor booth application, sponsorship agreement, signed contract, online registration, or written acceptance of exhibit space and/or sponsorship opportunities constitutes a binding financial commitment.

Failure to utilize exhibit space, sponsorship benefits, attendee registrations, advertising placements, or other contracted opportunities shall not relieve the Exhibitor/Sponsor of its payment obligations.

The Organizer reserves the right to pursue collection of unpaid balances, including reasonable attorneys" fees, collection costs, and interest permitted by applicable law.

Any cancellation request must be submitted in writing by January 15, 2027 and acknowledged by the Organizer. No verbal cancellation shall be considered valid.

PAYMENT TERMS
Full payment is due within 45 days of the invoice date unless otherwise specified. Exhibit space and sponsorship benefits may be withheld until payment is received in full. Applications submitted within sixty days of the event require immediate payment via Credit Card or Wire Transfer. Exhibit space and sponsorship benefits may be withheld until payment is received in full. Failure to remit payment by the due date may result in cancellation of participation.

CANCELLATION
Cancellations must be submitted in writing. Cancelations received on or before January 15, 2027 will be subject to a 20% processing/administrative fee based upon the total fee. No refund is possible for cancellations after January 15, 2027.

Conducting Exhibits

No individual raffles or quiz-type contests of any type will be permitted. The Society reserves the right to
refuse applications which do not meet the standards required or expected, as well as the right to curtail
exhibits or parts of the exhibit that reflect negatively on the character of the meeting.

Fire Protection
All materials used in the exhibit area must be flame proofed and fire‐resistant to conform to the local fire
ordinances and in accordance with regulations established by the local Fire Department.
Protection of the Hotel Building

Exhibitors will be held liable for any damage caused to hotel property, and no material or matter of any kind
shall be posted on, tacked, nailed, screwed, or otherwise attached to columns, walls, floors or other parts or
portions of the hotel building or furnishings.
